Occupational Health provider update

Following feedback from colleagues and further to a recent procurement exercise, we have appointed OH3 Ltd as our new Occupational Health Provider from 1 June 2024.

As part of this transition, all occupational health records held by our current provider PAM Occupational Health will be transferred to OH3 Ltd.

If you have any questions regarding this, or object to your records being transferred, please advise [email protected] by 15 April 2024.

If you are still undergoing an assessment by our current provider, this will continue until your assessment is complete. Thereafter records will be transferred to our new provider.

All records will be held in a secure and confidential manner. Your records will not be accessible or handled in anyway by any management or staff of Lothian Buses. OH3 wish for you to be informed of the above process as they will be agreeing to be the custodian of the health records and emphasise to all parties concerned their commitment to the highest standards of data confidentiality.

What records does this apply to?

Any medical records held by PAM Occupational Health, who currently conduct workplace medicals and give health advice.

 

Why are they being transferred?

Lothian Buses has appointed OH3 as their new Occupational Health Provider to continue providing these services and they will need access to previous records to enable them to look after your health needs at work.

 

Is this transfer a routine procedure and why is it happening now?

Yes, it is very common in Occupational Health and a transfer often occurs when a contract for health services ends and a new one begins. Any time there is a change of provider, your records will usually be transferred to the new provider.

 

Where will the records be stored?

OH3 are based on the 3rd Floor, York House, Edinburgh, EH2 2AZ.

OH3 Ltd ensure all digital records are kept securely on their OH records management system, accessible only by OH3 approved staff. Any paper records are kept within fireproof lockable filing cabinets and are accessible only by clinical and approved staff, who sign the appropriate confidentiality contracts.

Your occupational health data falls under the GDPR (General Data Protection Regulations) and guidance on transfer of Occupational Health Records 2024 by Society of Occupational Medicine.
